Job description

Position Name: Capacity Manager 

Work Location: Onsite in Barcelona

Work Schedule: Full-time, Monday – Friday; business hours 

Engagement Model: Employment; permanent 

 

Role Summary: 

As the Capacity Manager, you will oversee team utilization and office capacity, collaborating with multiple departments to align headcount with project needs and ensure resource efficiency. Your expertise in capacity planning and resource management will be essential in maintaining optimal productivity and organizational alignment. 

 

Key Responsibilities: 

  • Evaluate and monitor current office space usage, ensuring optimal allocation based on organizational needs 

  • Forecast future space requirements based on business growth, team expansions, and headcount projections 

  • Work closely with Ops and IT teams to manage office moves, or expansions 

  • Collaborate with HR and Sourcing teams to manage headcount needs, ensuring alignment with approved hires and organizational goals 

  • Track and analyze headcount data to provide insights on workforce distribution and allocation. 

  • Assist in workforce planning, identifying headcount gaps or surpluses, and recommend adjustments to meet team and project demands 

  • Maintain accurate records of hardware assets, including laptops, desktops, and other equipment, ensuring each team member has the necessary resources to perform their job 

  • Monitor team capacity, ensuring that resources are effectively allocated across projects to maximize productivity. 

  • Identify and address areas of under-utilization or over-allocation to balance workload and prevent employee burnout. 

  • Work closely with team leads and project/program managers to improve resource allocation, reduce bottlenecks, and enhance team efficiency. 

  • Develop metrics to assess utilization rates and productivity, providing data-driven insights to leadership on performance and areas for improvement. 

Job requirements

  • Bachelor's degree in business administration, Operations Management, or a related field. 

  • Proven experience (5+ years) in capacity planning, workforce management, operations, or a similar role. 

  • Strong analytical skills, with a focus on using data to inform decision-making. 

  • Proficiency in project management tools, office productivity software, and inventory management systems. 

  • Excellent organizational and communication skills, with an ability to work across multiple departments and stakeholders. 

  • Knowledge of resource optimization strategies and capacity planning methodologies.
